Define the shared priorities, protect confidential work, and make the building handoff clear before setting a routine.

Group the office by function and traffic

List the spaces included in the service and note when they are busiest. A public reception area may need a different emphasis from a lightly used meeting room. Describe floor types, restroom counts, and the breakroom setup. Use specific areas and tasks so the company can propose a routine that reflects how people move through the workplace.

Confirm the entry route, parking, alarm instructions, and the person available to resolve an issue. If the building has shared management requirements, provide the relevant instructions before the first visit rather than relying on someone being present to explain them.

Manage supplies, feedback, and changes consistently

Clarify whether restroom or breakroom supply replenishment is requested and who provides the supplies. Confirm which waste and recycling streams are included in the office plan. Assign one contact to collect feedback and update the checklist when occupancy or layout changes. Review a few agreed areas consistently so staff can report specific needs without creating competing task lists for the cleaner.
